Position summary
The Administrative Assistant serves the Department of Religion & Biblical Languages and the Discipleship Center, with responsibilities evenly divided between the two areas. This position supports the Department Chair and the Center Director in administrative, operational, and financial matters. The role involves daily interaction with students, faculty, and external contacts and oversight of student workers. The successful candidate will demonstrate initiative, strong organizational skills, and a welcoming presence consistent with the university’s mission.

Duties and responsibilities
General Administrative Support:
- Serve as the first point of contact for visitors, students, and callers to both departments
- Manage departmental email accounts, receive and distribute mail, and maintain office organization
- Maintain calendars and assist with scheduling and communication for the Chair and Director
- Coordinate with campus departments (e.g., Dean’s Office, Academic Records, Enrollment, Accounts Payable/Receivable) to ensure smooth operations
Academic and Event Support:
- Submit course schedules, manage room reservations, and process schedule changes
- Prepare meeting materials, including agendas, notices, and minutes
- Assist in planning and executing events and programs, including logistics, facility reservations, catering, communications, and budgeting
- Promote departmental events and assemblies through various communication channels
Financial and Record Management:
- Prepare and process financial documentation, including expense reports, interdepartmental charges, contracts, and credit card statements
- Maintain and digitize records and files for easy retrieval and long-term storage
- Monitor and purchase supplies and equipment for both departments
Student and Recruiting Support:
- Foster a welcoming and helpful environment for students
- Assist with departmental recruiting by managing contact lists, preparing communication materials, and assembling welcome packages
Website and Social Media Management:
- Maintain and update the Religion Department and the Discipleship Center’s websites and social media presence
Supervisory responsibilities
- Supervise 8 –10 student workers shared between departments
- Assist with recruiting, hiring, training, and scheduling student workers
- Monitor timesheets, resolve payroll issues, and provide performance feedback
Qualifications
Required:
- A college or university degree is preferred, or a minimum of 2–4 years of administrative experience, or an equivalent combination of education and experience
Preferred:
- Experience in higher education or nonprofit administration
- Familiarity with student development and discipleship programming
Must be a Seventh-day Adventist in good and regular standing.
Technical competencies
- Strong writing, editing, and communication skills
- Proficiency in Microsoft Office, Google Docs, email, and social media platforms
- Ability to learn university systems, including Acalog, Curriculog, Banner, Recruit, and scheduling tools
Interpersonal interactions
- Excellent interpersonal skills and professional demeanor
- Ability to work independently and collaboratively in a dynamic, high-traffic environment
Physical demands
- Regularly required to sit, stand, walk, reach, use hands, and speak clearly
- Must be able to lift up to 40 pounds
- Visual demands include close vision and computer use
Work environment
- High-traffic, shared reception area with frequent interruptions
- Moderate noise level typical of a busy academic environment
