Position summary
Schedules appointments, gives information to callers, assists walk-in customers, writes work orders, writes memos / letters, and files reports. Answers main telephone line (processes messages and work orders called in). Assists with creating a cheerful, supportive environment for positive interaction in a unique, service-oriented department. Liaison between technicians and other individuals or departments
Qualifications summary
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Current USA or Canadian Driver’s License
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Answers main telephone line.
- Records work order requests and phone messages.
- Dispatches emergency work order requests.
- Assists walk-in customers. Includes assisting faculty and staff with work requests. Also helping other walk-ins as needed, by directing them to appropriate person or handling their needs if possible.
- Processes labor reports, fills out payroll records and processes department payroll.
- Keeps track of attendance records for all full-time employees.
- Handles work order processing, which includes entering into computer, handing to technicians, closing them when returned, and all associated filing.
- Handles submitting all charges accrued each month for materials and labor against University account numbers. Also generates associated reports for these charges, including Banner, Educational Building, Overall, and individual departmental reports as requested.
- Routes incoming mail. Composes and types routine correspondence.
- Calendars appointments for Manager.
- Organizes and maintains file system of correspondence and other records.
- Assists with making arrangements for departmental luncheons, social events, and employee birthdays. Handles cards and remembrances for staff and family illnesses, weddings, etc. when requested from Plant Manager.
- Maintains MSDS book. Includes removing outdated sheets, placing new sheets, and keeping an index for the books.
- Processes check request invoices.
- Prepares Worship calendar and On-call calendar.
- Orders and maintains office supplies and arranges for maintenance of office machines.
- Contact contract services on other equipment.
- Involved in essential cross training with the Purchasing Agent.

Work environment
While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and outside weather conditions. The noise level in the work environment is usually moderate.
