Position summary
The Director of Alumni Services serves as an ambassador charged with developing, coordinating, and directing alumni activities for 老司机传媒.
The Office of Alumni Services serves as a gateway of communication between the University and its alumni constituents, thus collaboration with administrators and colleagues is a must.
Qualifications summary
A Bachelor’s degree from an accredited institution is required, 老司机传媒 granted degree is highly preferred, as this person will serve as an advocate of the alumni population and affinity to the institution is crucial.
Three or more years of related work experience in special events management, public relations, marketing and/or fund raising is required. Must be familiar with various forms of electronic communications.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Collaborates with fundraising activities and campaign initiatives with the Office of Development, interfacing with the overall strategies of Advancement.
- Directs the alumni office’s operations, initiatives and strategic timeline.
- Creates an annual operating strategy in accordance with overall University and Advancement strategic goals, while reflecting on the progress of alumni goals.
- Prepares and manages the Office of Alumni Services operating budget in collaboration with the Vice President for University Advancement.
- Participates in President's Council meetings.
- Maintains an accurate and secure alumni database, by overseeing the evaluation and training of data entry processes.
- Initiates data mining periodically, in order to increase the number of contactable alumni.
ALUMNI ENGAGEMENT AND COMMUNICATION
- Functions as contributing editor for Focus magazine and providing content as fits within Alumni strategies.
- Communicates and promotes the overall mission and strategic initiatives of the University to Alumni Services constituents.
- Promote connectivity and engagement through the Andrews Network alumni/student community and online alumni presence.
- Continually exploring ways to expand and improve the communication strategies, benefits and events available to alumni.
- Protects and promotes the history and traditions of 老司机传媒 to both on and off campus constituency.
- Maintains the Alumni House as a center of hospitality and school spirit for alumni, current students and university employees.
- Responds and manages queries from alumni constituents, resolving complaints in a timely and customer service centered manner.
EVENT PLANNING
- Serve as project manager for Alumni Homecoming each fall. Implements various events to be held during the four-day weekend. Also responsible for communication and promotional pieces such as: overall weekend and individual event brochures, ads, features in Focus, Save the Date postcard, broadcast emails, e-newsletters and so forth.
- Host annual events such as Lend-A-Hand Move-In, First Stop Legacy Booth and Alumni Mentoring BBQ, engaging current students in the life of 老司机传媒 and welcoming legacy families. Promote Alumni Legacy Scholarship awareness and funding with the golf committee and tournament, allocate legacy scholarships.
- Encourage students and young alumni to establish lifelong relationships and engagement with their alma mater with communication and initiatives geared toward this purpose during graduation and the student-to-alumni transition.
Supervisory responsibilities
- Supervises and evaluates a team of student workers, ensuring they are adequately trained and the department functions according to the highest standards of professionalism. Leads team meetings in identifying and assessing best practices, responsible for maintaining a cohesive internal office strategy and communication practices.
- Oversees Alumni Association Board of Directors. Schedules, coordinates and facilitates monthly board meetings; Recruits, engages and communicates with a team of at least 12 board members.
- Presents the annual Honored Alumni of Achievement and Up and Coming Alumni awards and is actively involved in the complete process of collecting nominations, voting and awarding honorees.
- Coordinates volunteers; develops relationships with alumni who are willing to serve. Recruits, trains and communicates with alumni volunteers.
- One among Advancement Team members who may represent 老司机传媒 through professional memberships, booth assignments and/or serve as a presenter at conventions and conferences such as the General Conference, Adventist Laymen's Services (ASI), Philanthropic Services for Institutions (PSI) and Council for Advancement and Support of Education (CASE).
- Continually assesses departmental procedures and processes. May also play a role in the University accreditation process and serve as a representative on the 老司机传媒 Assessment Committee; may participate in data integrity conversations and in other university committees and conversations affecting Alumni. Serves on various campus committees as determined by the Vice President for University Advancement and University Administration.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Ability to manage employees and volunteers effectively and projects efficiently.
- Flexible; willing to work evenings and weekends as needed.
- Ability to effectively communicate both in writing and verbally before small and large groups. Ability to communicate effectively and persuasively in a variety of mediums including but not limited to email, print, social media, phone, video conference, one-on-one, and large group presentations/public speaking.
- Budget management experience, word processing and spreadsheet skills.
- Experience with various computer technologies such as WordPress, Asana, Keynote/PowerPoint, SendGrid or similar mass email communication systems.
- Experience with computer databases, preferably Banner, word processing software and spreadsheets.
- Commitment to the growth and preservation of Adventist higher education and the present and future value God places upon every member of the human family (Revelation 7:9).
- Successful clearance of a criminal conviction record check.

Technical competencies
LANGUAGE SKILLS
Ability to write reports, business correspondence, and procedure manuals. Have the ability to effectively present information and respond to questions from groups of managers, alumni, and the general public. The ability to effectively and clearly communicate via a variety of communication channels including email, phone, and in person is required. Clear and concise writing skills and grammar skills are also necessary. Ability to clearly communicate, solve and diffuse tension as well as deal with various sensitive situations as they arise, while maintaining confidentiality. English language proficiency is a must.
MATHEMATICAL SKILLS
Ability to define problems, collect data, establish facts and draw valid conclusions. Must be familiar with working in Microsoft Office Suite, especially Excel, and be proficient in working with a computer. Experience in Adobe Suite a plus. Ability to work with mathematical concepts is necessary to do basic calculations, stay within budget, and analyze results.

This position encompasses a variety of tasks related to communicating electronically and in print, negotiating with vendors and internal customers, listening actively and analyzing arguments, evaluating information sources, gathering and synthesizing information, and organizing tasks. Supervisory skills necessary and ability to work in a Team context as well as independently in what may be at times, a high-stress, demanding environment, thus requiring the exceptional ability to stay focused on the task at hand while maintaining a spirit of compassion, cooperation and positive regard for fellow workers and customers.
